If you apply for the Soulven Content Creator Program through our Microsoft Forms application form, Soulven GmbH processes the information you provide for the purpose of reviewing your application, contacting you regarding your application, managing participation in the creator program and, where applicable, arranging creator-related opportunities, access rights, rewards, discounts or communication.
The data processed may include, depending on the information requested in the form: your creator or channel name, first name, last name, date of birth, e-mail address, Discord username, country of residence, active content platforms, channel URLs, approximate follower count, peak viewer information, average views, content language, content categories, application text, information about your suitability for the program, your confirmations regarding program rules and any other information you voluntarily provide in the application form.
We process this data in order to review whether an applicant is suitable for the Soulven Content Creator Program, to communicate with applicants, to manage the creator relationship if an applicant is selected and to document confirmations regarding program participation, activity expectations, content usage permission and conduct rules.
The legal basis for this processing is Art. 6(1)(b) GDPR, insofar as the processing is necessary to take steps prior to entering into a possible creator program relationship or to manage such a relationship. In addition, Art. 6(1)(f) GDPR may apply where processing is necessary for our legitimate interests in reviewing applications, organizing the creator program, documenting program-related confirmations and protecting Soulven GmbH, its projects and its community from misuse or reputational harm. Where we ask for separate consent, Art. 6(1)(a) GDPR applies.
The application form is provided through Microsoft Forms, a service of Microsoft. Data entered into the form may therefore be processed by Microsoft as a service provider on our behalf. We use Microsoft Forms to collect and manage application responses.
Access to the application data is limited to persons at Soulven GmbH who are involved in reviewing applications, managing the creator program, community management, marketing, communication or legal and administrative matters. We do not sell application data to third parties.
If an application is rejected or not pursued, we generally delete or anonymize the application data after a reasonable review and documentation period, unless statutory retention obligations, legal claims or our legitimate interest in documenting the application process require longer storage. If an applicant is accepted into the program, we may store the relevant data for the duration of the creator program relationship and for an appropriate period afterwards, where this is necessary for documentation, legal, administrative or communication purposes.
Applicants may request access to their personal data, correction of inaccurate data, deletion, restriction of processing, data portability and, where applicable, object to processing or withdraw consent with future effect. The general data subject rights described in this Privacy Policy also apply to creator program applicants.
Please do not submit sensitive personal information, confidential third-party information or information that is not required for the application process.
We retain personal data only as long as necessary for the purposes described or as required by law. Analytics cookies are typically stored 14–26 months.
Some providers (e.g., Google) process data outside the EU/EEA. We rely on SCCs and safeguards to protect your data.
We use encryption, restricted access, and continual updates. No system is 100% secure, but we take appropriate measures.
